Most estate agents fail to exploit CRM data potential

The latest research reveals that 82.4% of estate agency executives are convinced their customer relationship management (CRM) systems contain unused revenue opportunities, though most face significant hurdles in accessing or leveraging that data. The study shows that 26.5% of respondents recognize the existence of revenue potential within their databases but lack the necessary tools to extract it.

This gap highlights a broader issue: property firms collect vast troves of information, including vendor profiles, landlord histories, buyer inquiries, and transaction records, yet older data often becomes buried under layers of disorganization. Over time, records degrade, duplicate, or scatter across systems as databases expand. The problem worsens when agencies switch CRM providers, with 58.8% of leaders expressing concern over losing critical historical data during transitions.

Real-world migrations show the sheer volume of data involved. One Hertfordshire-based agency with seven branches and a 45-year history required a transfer of 1.2 million records, while a three-branch Essex firm moved 748,831 records accumulated over two decades. The growing adoption of AI in property services has further exposed the urgency of data quality. Artificial intelligence thrives on structured, clean datasets to identify patterns and opportunities, but its potential remains limited without reliable historical information. Ian Preston, CEO of Greenhouse OS, emphasizes that AI-driven hyper-personalization, customizing mass communications for individual clients, depends entirely on rich, well-organized data.

The research suggests that as estate agencies continue to evolve their operations, the question is shifting from how much information their CRM systems hold to whether businesses can make effective use of that data.
